Section 01

Terms of Service

These Terms of Service govern all bookings, enquiries and use of services provided by Lens Luxe LDN. By making a booking or submitting an enquiry you agree to these terms in full.

1.1 About Us

Lens Luxe LDN is a luxury event experiences company based in London, United Kingdom, trading as a sole trader / small business. We provide photo booth hire, digital welcome wall installations and related event services.

1.2 Bookings and Confirmation

A booking is confirmed only once a deposit has been received and a written confirmation (email) has been issued by Lens Luxe LDN. Verbal agreements and enquiry form submissions do not constitute a confirmed booking.

  • A non-refundable deposit of 30% of the total booking value is required to secure your date.
  • The remaining balance is due no later than 14 days before the event date.
  • Failure to pay the remaining balance by the due date may result in cancellation of the booking without refund of the deposit.
  • All prices are quoted in Pounds Sterling (GBP) and are inclusive of VAT where applicable.

1.3 Our Obligations

Lens Luxe LDN agrees to:

  • Provide the agreed services as described in the booking confirmation.
  • Arrive at the venue at the agreed time to set up equipment.
  • Provide a uniformed, professional attendant for the duration of the hire period.
  • Notify the client as soon as reasonably practicable if circumstances prevent us from fulfilling the booking.

1.4 Client Obligations

The client agrees to:

  • Provide accurate event details at the time of booking including date, venue, timings and guest count.
  • Ensure adequate space (minimum 3m x 3m) and a power supply (standard 13A UK socket) is available at the venue.
  • Ensure guests treat our equipment with care. The client is liable for any damage caused to equipment by guests or third parties at the event.
  • Obtain any necessary permissions from the venue to allow our equipment on the premises.

1.5 Equipment and Damage

All equipment remains the property of Lens Luxe LDN at all times. In the event of damage caused by the client, their guests or third parties, the client will be invoiced for repair or replacement costs at market value. Lens Luxe LDN reserves the right to remove equipment from the venue if it is being misused or if the safety of our staff or equipment is at risk.

1.6 Force Majeure

Lens Luxe LDN shall not be liable for failure to perform services resulting from circumstances beyond our reasonable control, including but not limited to severe weather, natural disaster, pandemic, government restrictions, acts of terrorism, fire, flood or venue failure. In such circumstances we will endeavour to reschedule the booking at no additional charge, subject to availability.

1.7 Liability Limitation

To the fullest extent permitted by law, Lens Luxe LDN's total liability to any client shall not exceed the total amount paid by the client for the booking in question. We are not liable for any indirect, consequential or special losses including loss of enjoyment or opportunity.

Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud or any other liability that cannot be excluded under English law.

1.8 Intellectual Property

Lens Luxe LDN retains the right to use photographs and videos captured at events for marketing purposes including social media, the website and promotional materials, unless the client requests otherwise in writing before the event. We will never identify individuals by name without explicit consent.

1.9 Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Privacy Policy

This Privacy Policy explains how Lens Luxe LDN collects, uses and protects your personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and where applicable the EU GDPR for clients based in the European Economic Area.

2.1 Data Controller

The data controller for your personal information is Lens Luxe LDN, London, United Kingdom. You can contact us regarding data matters at lensluxeldn@gmail.com.

2.2 What Data We Collect

We collect and process the following personal data:

  • Identity data: full name
  • Contact data: email address, phone number
  • Event data: event date, venue, event type, guest count, special requirements
  • Financial data: payment records (we do not store card details; payments are processed via third-party providers)
  • Media data: photographs and videos captured at events you attend
  • Technical data: IP address, browser type, pages visited (via website analytics)

2.3 How We Use Your Data

We use your personal data for the following purposes and under the following legal bases:

  • To fulfil a contract — processing your booking, communicating about your event, and delivering our services.
  • Legitimate interests — responding to enquiries, improving our services and marketing to existing clients.
  • Consent — sending marketing communications to new contacts (you may withdraw consent at any time).
  • Legal obligation — retaining financial records as required by HMRC and UK tax law.

2.4 Data Retention

We retain personal data for no longer than necessary:

  • Enquiry data (no booking made): deleted after 12 months.
  • Booking data: retained for 7 years to comply with HMRC requirements.
  • Event media: retained for up to 2 years for marketing purposes unless you request earlier deletion.

2.5 Your Rights

Under UK GDPR you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — request correction of inaccurate data.
  • Erasure — request deletion of your data where there is no legal reason to retain it.
  • Restriction — request we restrict processing of your data in certain circumstances.
  • Portability — receive your data in a structured, machine-readable format.
  • Object — object to processing based on legitimate interests or for direct marketing.
  • Withdraw consent — withdraw any consent given at any time, without affecting prior processing.

2.6 Third Parties

We do not sell your personal data. We may share data with:

  • Payment processors (e.g. bank transfer, payment platforms) to process transactions.
  • Email service providers to send booking confirmations.
  • HMRC or law enforcement where legally required.

2.7 International Transfers

Where personal data is transferred outside the UK or EEA (for example via cloud services), we ensure appropriate safeguards are in place including Standard Contractual Clauses or adequacy decisions as recognised under UK GDPR.

2.8 Children's Privacy

Our services are not directed at children under 13. We do not knowingly collect personal data from children. Photographs taken at events may include children; in such cases we rely on the event organiser (client) having obtained appropriate consent from parents or guardians.

Cookie Policy

Our website uses only essential cookies necessary for the site to function. We do not currently use tracking, advertising or analytics cookies that require consent under the UK Privacy and Electronic Communications Regulations (PECR).

3.1 What Are Cookies

Cookies are small text files stored on your device when you visit a website. They help websites remember your preferences and improve your experience.

3.2 Cookies We Use

  • Essential cookies: Required for basic website functionality such as form submission. These do not require your consent.

Should we introduce analytics or marketing cookies in the future, we will update this policy and display an appropriate consent banner in accordance with PECR and UK GDPR.

Section 04

Cancellation & Rescheduling Policy

We understand that circumstances change. Please notify us as soon as possible if you need to cancel or reschedule your booking.

4.1 Cancellation by the Client

  • More than 60 days before the event: Deposit is forfeited. No further charge.
  • 30 to 60 days before the event: 50% of the total booking value is due.
  • Less than 30 days before the event: 100% of the total booking value is due.

All cancellations must be made in writing to lensluxeldn@gmail.com. The date of cancellation is the date the written notice is received.

4.2 Rescheduling by the Client

We will make reasonable efforts to accommodate rescheduling requests subject to availability. One complimentary rescheduling is offered if notice is given more than 30 days before the event. Rescheduling requests within 30 days of the event may incur an administration fee.

4.3 Cancellation by Lens Luxe LDN

In the unlikely event that Lens Luxe LDN must cancel a booking, we will provide as much notice as possible and offer either a full refund of all monies paid or a rescheduled date at the client's preference. Our liability in such circumstances is limited to the refund of monies paid and does not extend to any consequential losses.

4.4 Consumer Rights

Clients who are consumers (individuals booking for personal, non-commercial use) retain all rights afforded under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013, including rights in relation to services not performed with reasonable care and skill.
